How Does a Cloud Phone System Work?

You don’t need to pay hefty initial amounts to purchase and install on-site hardware. And most cloud services run on a simple per-user monthly fee, so your costs scale predictably with your team size.

Reputable providers run their infrastructure across redundant, geographically distributed data centers. That means your phone system isn't dependent on the health of a single server sitting in your office closet.

Remote-ready by default

Since the telephone system lives on the internet rather than your office network, employees can log in from home, a co-working space, or a different time zone without any special configuration.

Real-time moves, adds, and changes

Adding a new hire, updating a call routing rule, or setting up a new extension typically can be done in minutes through an admin portal. You won’t have to wait for the provider’s rep to get around to it.

Key Features to Look for in a Hosted Phone System

The right features depend on how your team works day to day. These are the ones worth prioritizing as you compare providers.

Auto attendant/virtual receptionist. A pre-recorded greeting that automatically answers calls and routes callers to the right person or department, so no call goes unanswered even when your front desk is busy (or doesn't exist!)

Business hour rules. Call handling that automatically adjusts based on the time of day/day of week, so callers reach the right message or team whether it's business hours or after hours.

Call queues. A call feature that holds callers in an organized queue during high-volume periods instead of sending them straight to voicemail. Callers are distributed to your agents on a first-in, first-out basis.

Softphone and mobile apps. Software-based business telephones that come in downloadable apps on your computer or smartphone. These apps provide business calling features and abilities on your devices without the use of a desk phone.

Voicemail to email. Voicemail messages are automatically sent to a user’s email address. Users can then listen to and download voicemails from their inbox instead of having to dial into their voicemail manager.

Video conferencing. Face-to-face meetings built into the same platform as your phone system, so your team can hop on a video call without juggling a separate app or license just for meetings.

Admin portal. A self-service dashboard that lets a designated team member add users, change call flows, update business hours, and manage payment methods in a few clicks, without waiting on a support ticket.
