VoIP is a technology that lets you make and receive phone calls using an internet connection instead of a traditional phone line. It's right there in the name: Voice over IP.

Traditional phone lines rely on copper wires and circuit-switched networks; it’s the same basic setup that's powered landlines for over a century. VoIP bypasses all of that. It converts your voice into digital data packets and sends them across the internet to reach whoever you're calling.

Here's the simplest way to think about the difference:

The underlying purpose hasn't changed (you're still making a phone call, that is) but the delivery method has been rebuilt from the ground up. No copper wires tethering you to a desk phone. No switchboards. Just an internet connection.

That shift isn't just a technical footnote, either. Because VoIP uses packet switching instead of dedicating a physical line to every call, it strips out most of the infrastructure costs that make traditional phone service expensive, especially long-distance and international calls. It also opens the door to features that circuit-switched phone lines simply can't offer: video conferencing, voicemail to email, call forwarding to any device, and the ability to answer your business line from your laptop, your smartphone, or a desk on the other side of the country.

Internet calling has a longer life span than you might think. It roughly started in 1973 when ARPANET experimented with the first VoIP transmissions. Another big breakthrough came in 1991 with Speak Freely, the first VoIP app released into the public domain. It wasn’t until 1995, however, that the first real for-profit VoIP application came into play. Israeli telecom company VocalTec released their InternetPhone, and while it charged users for registration and minutes, the cost was minuscule compared to average call pricing at the time. Hosted PBX and SIP followed the next year, and then in 2003 came the biggest VoIP release in terms of public perception: Skype.

For any non-gamers (Xbox Live, which also uses VoIP, launched in 2002), free Internet calling was a phenomenon. Interest skyrocketed to the point that the FCC got involved in 2004. They declared Voice over Internet Protocol an information service, not a telephone service. This meant that VoIP providers were not beholden to the higher taxes of telecom giants and were also free from state regulation, keeping VoIP costs incredibly low.

The 2000s brought the rest of the pieces together fast: OnSIP was founded in 2004 (originally as Junction Networks), mobile VoIP apps in 2006, FaceTime in 2010, and WebRTC (which lets you make VoIP calls directly in a browser, no app required) shortly after. What started as a workaround for gamers who didn't want to rack up long-distance charges has become the default way modern businesses handle their phone systems.

How Does VoIP Work?

Landline telephones—the ones with copper wires that can only handle one call per line—use circuit switching to send voice signals across wires. In the old days, when a switchboard operator connected two people on a call, that wire was entirely dedicated to that call and couldn’t be used for anything else, even if neither party was talking. Circuit switching looks like this:

VoIP communications use packet switching instead. This is where the “IP” in VoIP comes into play. Unlike circuit switching, which reserves all the bandwidth of a single line in advance, packet switching is much more efficient because it only uses bandwidth when it’s needed.

Whether it’s an email, photo, or VoIP call, packet switching works the same way. The data (the call) going from Point A to Point B is broken up into little packages (packets). These packets bounce through routers (nodes) until they reach Point B. Each packet takes its own route, as each node it goes through looks at neighboring nodes to find the most efficient path—if one node is handling a lot of traffic, the packet will be sent to a node that isn’t so busy. This is called “store and forward.”

Each packet has a header with its source and destination information (IP address), like a piece of mail going through the postal service. Routers use the header information to figure out where to send the packet next. The packets also have ordering information, so no matter which packets of data arrive first, they are all reassembled into the correct order at the destination. This is why you might see a slowly loading picture appear one block at a time—you’re seeing the individual packets arriving and finding their correct place.

This is how VoIP calls work. The voice data of the call is sent in little data packets across the Internet to the person on the other end. This might sound like a massive undertaking, but each packet comprises only a few milliseconds of sound, so lag or dropped packets due to a bad connection may be barely noticeable. Packet switching is more efficient than circuit switching and has better sound to boot.

SIP: The Protocol Behind VoIP

VoIP describes the concept of calling over the internet. SIP (Session Initiation Protocol) is the specific protocol that makes it happen. SIP handles the signaling: connecting a call, disconnecting it, adding a third person to a conference, or transferring a call to someone else's line, all in real time.

If "protocol" sounds abstract, think of it in terms of tools you already use daily. HTTP is the protocol that lets your browser and a website exchange information. SMTP does the same job for email. SIP plays that role for VoIP calls.

That's also where "SIP address" comes from; it’s a unique identifier, formatted like an email address, that lets you receive calls from anywhere you're logged in. You still need an actual phone number on top of your SIP address, though, since that's what allows people on the traditional phone network to reach you.

What Is a VoIP Number?

A VoIP number, often called a virtual phone number, isn't tied to a specific physical device the way a landline number is tied to a specific telephone. Your VoIP number is tied to you, not a location. Log in from any internet-connected device with the right credentials, and that number follows you.

This is the feature that makes VoIP such a fit for distributed teams. An employee working from a client site, a home office, or an airport lounge can still answer inbound calls to their direct business line. And switching to VoIP doesn't mean giving up your existing number: number portability rules come into play here, so you can move your current business number(s) to your new provider.

What Is a VoIP Phone?

A VoIP phone looks like an ordinary desk phone, but it works completely differently under the hood. Most connect over Ethernet using Power over Ethernet (PoE), meaning a single cable both powers the phone and connects it to the network. There’s no need for a separate power adapter or rewiring a whole office to add a new hire's desk.

Unlike a landline, which handles exactly one call per physical line, a single VoIP phone can manage multiple calls simultaneously. VoIP phones also typically support HD voice codecs, delivering noticeably clearer audio than the public switched telephone network (PSTN) can produce.

VoIP phones aren't limited to hardware, either. A softphone is simply an app, desktop or mobile, that turns any device into a VoIP phone, letting you make and take business calls without a dedicated handset at all.

What Is a VoIP Call?

At the end of all this, a VoIP call is just a phone call placed over the internet instead of a phone line. To the person on either end, it functions exactly like a traditional call. The differences are all on the back end: better sound quality, lower cost, and far more flexibility in how and where you answer.

Fixed VoIP vs. Non-Fixed VoIP

Fixed VoIP ties a VoIP number to a physical address, much like a traditional phone line. That matters for emergency services. When you dial 911, dispatchers use the registered address to send help to the right place. Fixed VoIP providers, including OnSIP, require this address on file, and fixed VoIP connects to the PSTN with the full set of business features and security protections you'd expect from a real phone system.

Non-fixed VoIP skips the address requirement entirely; all you need is an email and a payment method. That flexibility comes at a cost: little to no security, no PSTN connectivity (including no 911 access), and a much higher likelihood of being used for spoofed or fraudulent calls. Skype and Google Voice are common examples of non-fixed VoIP.

What Equipment Do You Need for VoIP?

One of the more surprising things about switching to VoIP is how little hardware it actually requires. At a minimum, you need a business VoIP subscription and a device connected to the internet. From there, most businesses mix and match a few options depending on how each person works:

  • Desk phones: Purpose-built VoIP phones that plug into an Ethernet port instead of a phone jack. Many use Power over Ethernet, so one cable handles both power and connectivity.
  • Softphones: An app installed on a laptop or desktop that turns the computer itself into a phone, typically paired with a headset.
  • Mobile apps: The same idea, on a smartphone. Useful for anyone who's frequently away from a desk.

Some businesses also need a bit more infrastructure, particularly if they're keeping older equipment around:

  • Analog Telephone Adapters (ATAs): Small devices that let legacy analog hardware (fax machines, paging systems, alarm panels) connect to a VoIP network instead of a phone line.
  • PoE switches: Useful in larger offices where you want a batch of desk phones powered and connected without running a separate power cord to each one.

How to Switch to a VoIP Service

Moving off a legacy phone system sounds like a bigger project than it actually is. Here's the general path most businesses follow:

  1. Check your internet connection. VoIP call quality depends on your network, so it's worth confirming your bandwidth and connection stability can handle the number of simultaneous calls your team makes before you commit to a plan.
  2. Choose a provider and plan. Match the plan to what you actually need. Don't pay for an enterprise contact center suite if your team just needs reliable lines and a few auto-attendant menus.
  3. Port your existing number. You don't have to give up your current business number. Your new provider handles the transfer from your old carrier, and your line stays live throughout the process.
  4. Set up your phones. Decide on a mix of desk phones, softphones, and mobile apps based on how your team actually works, then get them connected.
  5. Configure call routing and train your team. Build out your auto attendant greetings, map extensions to departments, and set voicemail rules. Most of this happens through a web-based admin portal, so there’s no technician visit required.

Scalability

The Challenges

VoIP's biggest limitation is its dependence on a stable, high-speed internet connection. Call quality is directly tied to your network's performance: a slow, unstable, or heavily used connection will produce noticeably worse calls, and businesses in areas with limited internet infrastructure should factor that in before switching.

When call quality does suffer, it usually shows up as one of three issues: latency (a delay between speaking and being heard), jitter (packets arriving out of order, producing choppy audio), or packet loss (some packets never arriving at all, causing dropped words or disconnects). Most of these trace back to network congestion, insufficient bandwidth, or an ISP-level issue.

Power outages are the other major consideration. Traditional landlines draw power directly through the phone line, so they often keep working when the electricity goes out. VoIP equipment needs power for your router, modem, and phones, so an outage can take your whole system down unless you've planned around it. The fix is straightforward: battery backups for your networking equipment, automatic call forwarding rules that reroute to mobile devices during an outage, and making sure your team has your provider's softphone app installed so they can keep taking calls over cellular data if needed.
